  • Contact Information
    Name, email address, phone number, physical address, company details.
  • Billing Information
    Credit card details, bank account information, or applicable online payment details.

    Government-issued identification numbers (e.g., PAN, Aadhaar, passport), when required by applicable law or for verification.
  • Account & Communication Data
    Information you provide when creating an account, filling forms, contacting support, or interacting with us.
  • Connected account data
    If you connect a third-party account (for example Gmail or another mailbox), we collect the account identifier, messages, attachments, and related metadata needed to provide the connected feature, along with the tokens required to maintain that connection. We access this data only after you authorize it.

Subscribers may also enter personal information about their Customers or staff while using our services.

Providing personal information is optional, but certain features may require it.

flowOne also uses information to support communication services provided through third-party platforms such as Twilio.

While we strive for maximum security, no method of transmission over the internet is 100% secure.

7. Children’s Privacy

flowOne does not knowingly collect information from individuals under age 16.

flowOne does not sell or rent your personal information.

a. With Subscribers & Customers

Information entered into the system may be shared with authorized individuals based on subscriber-controlled permissions.

b. Payment Processing

Payment data may be shared with trusted payment gateways (e.g., credit card processors). flowOne does not store sensitive payment details unless explicitly enabled by the subscriber.

c. Service Providers

We may share data with third-party vendors who support our operations, such as:

  • Hosting providers
  • Customer support systems
  • Twilio communication services
  • Analytics and security providers
  • Cloud hosting and storage providers
  • Document processing and AI inference providers used to extract business data from emails and attachments

These partners may access personal data only to perform their services for flowOne.

e. Business Transactions

In case of a merger, acquisition, or restructuring, your information may be transferred as part of the transaction.

We do not own or control such data.

Requests to access, correct, or delete such information should be directed to the Subscriber who controls that data.

  • Resolve disputes
  • Enforce agreements

11. User Choices

You may:

  • Update or correct your information
  • Request deletion of your data
  • Opt out of promotional emails

  • Disconnect a connected mailbox in FlowOne, or revoke access from the third-party provider’s account settings (for Google accounts: https://myaccount.google.com/permissions)
  • Request deletion of connected-account data by emailing admin@flowone.in

If flowOne provides public blogs or forums, information you share may be visible to others.
To request removal of posted information, contact admin@flowone.in.

flowOne is not responsible for their content or policies.

If flowOne processes or transfers personal data outside India, we do so in accordance with:

16. Google API / Limited Use

If you connect a Google account (including Gmail) to FlowOne, we access Google user data only with your OAuth consent, and only to provide the FlowOne features you use.

We use Google user data to sync and display mailbox content, extract business information from messages and attachments, and send email on your behalf when you initiate send or reply in FlowOne. We do not sell this data, use it for advertising, or use it to train or improve generalized AI or machine learning models.

Connected-account content may be processed by our subprocessors (including hosting, storage, OCR, and AI inference providers) solely to provide these features.

The use of raw or derived user data received from Google Workspace / Gmail APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

You can disconnect the integration in FlowOne or revoke access in your Google Account permissions at any time.
